Overview
This Quick Reference Guide provides step by step instructions for updating SCC product pages, briefing materials and uploading other documents on the Document Store via the Doc Store Upload page. This page provides a quick and easy way to access the Document Store for common operations without having to use the main Document Store login page.

A. Upload SCC Products to the RefDocs folder
Most SCC Product documents are loaded to the RefDocs folder as either a PDF, PPT, DOC, XLS or HTM with baggage folder.
1. Open the Doc Store Upload page from the SCC Support page on the EM-COP Desktop.
2. Open the folder containing the SCC Product file(s) to be uploaded.
3. Ensure the product files are correctly named. To rename an HTM file, load it in the corresponding application and use "Save As" to rename the file.
4. Drag and drop the PDF or HTM and _files folder onto the RefDocs dropzone on the Doc Store Upload page.
5. Wait a few seconds, then access the online file to check that it has been updated.
B. Update the IILU Menu
Existing documents can be updated with a new version using this process. There is no need to regenerate the corresponding menu.
1. Click the Download [ILLU MENU] button below the RefDocs drop area.
2. The menu will download as a ZIP file. Open the ZIP file.
3. Copy the HTM and _files (baggage) folder to the local folder on the PC or workstation.
4. Right click the HTM file in the local folder, select "Open with" then "Word".
5. Edit the file as required then save. Do not change the menu filename.
6. Drag and drop the updated menu file and baggage folder onto the RefDocs folder drop area to upload back to the Doc Store.
7. Open the Menu on the EM-COP Desktop to check the updated document.
C. Update an existing briefing info or resource document with a new version
Existing documents can be updated with a new version using this process. There is no need to regenerate the corresponding menu.
1. Open the Briefing Menu from the EM-COP Desktop and identify the document to be updated.
2. Right click the document link on the Menu and select "Copy link address" or "Copy Shortcut".
3. Open a new browser window and paste into the address bar then press Enter to open / download and verify the document.
4. Highlight the filename part of the link address and copy to the clipboard.
5. Rename the updated version of the file using paste from the clipboard. This process ensures that the file has the correct name.
6. Drag and drop the renamed file onto the corresponding folder drop area to upload back to the Doc Store.
7. Open the Menu on the EM-COP Desktop to check the link to the updated document.
D. Upload a new briefing resource document and re-generate the Briefing Resources Menu
Adding a new briefing resource document is similar to updating an existing document. However, the Doc Store Update page includes a button to easily regenerate the Briefing Resources menu with a new link and description. The description added to the menu is based on the filename with dashes and underscores converted to spaces. To upload the new Briefing Resource document:
1. Identify the briefing resource document to be uploaded and rename it to reflect the desired description with space characters changed to dashes.
2. Drag and drop the document onto the Briefing Resources drop area to upload to the Doc Store.
3. Click the UPDATE MENU button under the Briefing Resources drop area to update the Briefing Resources menu.
4. Open the Briefing Resources menu on the EM-COP Desktop to verify it has updated and to check the link to the new document.
E. Upload a new briefing document and re-generate the State Briefings & Forums Menu
Adding a new briefing document is similar to adding a new briefing resource document except that there are multiple drop areas corresponding to the different tables in the menu. To upload the new Briefing document:
1. Identify the briefing document to be uploaded and rename to reflect the desired description and change space characters to dashes.
2. Identify the table in the menu where the new document should appear.
3. Drag and drop the document onto the corresponding drop area under Briefing Info to upload to the Doc Store.
4. Click the UPDATE MENU button under the Briefing Info drop area to update the Briefing Info menu.
5. Open the Briefing Info menu on the EM-COP Desktop to verify it has updated and to check the link to the new document.
F. Access the Document Store via the main login page
The Document Store must be accessed via the main login page to rename, move or delete documents or perform any other file and folder operations.
Go to: https://cloud.em.vic.gov.au
Use the following login details:
Username: empadmin
Password: rUi4StuHav
This login will default to the top level folder. Click the desired folder in the main folder list.
Note that there are additional logins that enter the folder structure at a sub folder, and don't allow access above that point in the folder structure. These logins are used by agency and other business staff to only give access to their part of the folder structure and are documented here:
