EM-Webmail has moved to Office 365.
EM-Webmail has been moved to Office 365 prior to the 2019-20 summer season. The previous system was at end-of-life and there was a high risk of failure had we not moved.
This will mean a fresh user interface that is already familiar to most users. Login will use Microsoft Office 365 Portal via the icon on the EM-COP Desktop or via Microsoft Office 365 Portal using a web browser.

What stays the same ?
EM-Webmail mail account role-based names are the same. You will still see the existing email and use it in the same way. Distribution lists and email groups remain the same.
What changes ?
How you log in.
- The login page for EM-Webmail is now the Microsoft Office 365 Portal via the familiar icon on the EM-COP Desktop Operations page or via this page at:
https://files-em.em.vic.gov.au/public/EM-Webmail-O365.htm. - You need to use the full email address as the username.
- The old well known passwords are no longer valid. You need to get the mailbox password and a time sensitive login code from the EM-COP Login Code generator and enter on the login page to complete the login.

Important security changes
Due to the public nature and broad accessibility of Office 365, we are compelled to implement Multi-Factor Authentication (MFA) login codes. This means that when you first log in to EM-Webmail, you will need to enter a six digit number code (as well as the mailbox password) to authorise your login. This process is the same as in many other current systems where you get a code, for example, via SMS, email or a mobile app.
For EM-Webmail, you obtain the mailbox password and a login code via a new Login Code generator on the EM-COP Desktop, using your EM-COP username and password. The code is different for each mail account and changes every 30 seconds. Once you have logged in, you can log out and log back in on the same device without a code for up to 7 days. The process may take a little time to get used to but does provide a much higher level of security.
When did the mail accounts change ?
Regional Mailboxes were transferred on Friday 20 Sep 2019.
State mailboxes were transferred on Friday 27 Sep 2019.
Incident mailboxes were transferred on 04 Oct 2019.
