This article is for Doc Store Administrators and describes how to use the Filerun web interface for advanced file and folder operations.
Contents
A. Introduction
The EM-COP Document Store is a web accessible file storage system that is used to host a wide variety of emergency management documents. Most documents cannot be read from the Document Store without an EM-COP username and password, though documents may be made public if required.
Filerun is used to directly access the folder structure and provides a web interface similar to Onedrive, EM-Drive or Google Drive.
B. Logging in
Access to the Doc Store is via the "Doc Store Login" icon on the Admin page on the EM-COP Desktop. You will need the Admin page password to access this page. Contact EM-COP Support if you don't have this password.
The Doc Store folder structure is segmented by username and password. That is, a specific username and password allows access to a sub branch of the folder structure. Only the admin has access to the entire folder structure. Usernames and passwords are function based and separate from an individual's EM-COP username and password.
Doc Store admins will need the username and password relevant to the sub-branch they are administering. Contact EM-COP Support as needed.
The "Doc Store Login" icon will take you to an information page. This will display any changes or other relevant information you may need. Click the Doc Store button at the bottom right side of the Info page. This will take you to the Filerun Login page.
Enter your assigned username and password to log in. This will take you to the top level of the associated sub-branch.
C. Filerun Layout
Filerun has a similar layout to Pydio, EM-Drive and other web based file managers. It uses three side-by-side panes.
The left pane displays the folder tree, the main central pane contains the file list and the right pane contains details about the currently selected file or folder.
Please be aware that you may need to click the Filerun refresh icon at the top of the main pane to see the latest changes after a file or folder operation.
D. Folder Navigation
The are a few complimentary ways to navigate through the file structure.
- You can click a folder name in the left pane folder list. Use the ▷ or ▽ to the left of a folder name to open or close subfolders in the listing.
- Alternatively, you can double click a folder in the main pane to open that folder.
- Finally, you can click a folder in the breadcrumb at the top of the main pane.
E. Folder Operations
Again, there are various ways to perform operations on folders.
- Right click on a folder name in the left pane folder list
- Right click in a blank area of the main pane
- Right click on a folder name in the breadcrumb list
- Click a folder in either the left pane or main pane or a file in the main pane. This sets the origin point. Click + New in the heading row.
These options will open a pop-up menu. From here, you can create new sub-folders, copy, move rename or delete folders.
Some other functions are also available from these menus. See the Filerun Features section for more details.
F. File Operations
Right click on a file to open the pop-up menu. From here you can:
- Download the file
- Preview using a compatible viewer in a full page overlay.
- Edit in a compatible editor (not available in some file formats)
- Open in a text or HTML editor
- Copy, move, rename or delete the file
Some other functions are also available from these menus. See the Filerun Features section for more details.
G. Filerun Features
Filerun has some additional features that were not previously available in Pydio. These features are generally accessed through the right click pop-up menu.
a) Starred (Favorites) list
Any file or folder can be "starred" by clicking Add to > Starred in the pop-up menu. This adds the file to the Starred list on the left pane. This is a quick and convenient way to access files or folders that you use regularly. Click on a file or folder in the starred list to see the full path location in the right pane.
b) Zip files
Any file or folder can be added to a ZIP file by clicking Add to > Zip archive in the pop-up menu. The ZIP archive file will be created if it doesn't already exist. This is an easy way to manage ZIP packs directly on the Doc Store.
c) Edit MS Office files directly on the Doc Store
A Word, Excel or Powerpoint can be directly edited on the Document Store. This saves having to download - edit - upload the file. Right click on the file and click Open with > Office.
d) Shared links
A web link can be created to access any file or folder directly. Right click on the file or folder and click Share > Web link.
This produces a web page with basic functionality to navigate any subfolders and to view or download files. All shared links are listed under Shared links in the left pane and should be used with caution as they don't require a username or password.
A typical application would be to allow short term access during an operational period with the link removed later when activity has subsided.
e) Labels
A label can be added to any file or folder that can be used to categorise the file/folder and also used to filter or in a search. The preset labels are APPROVED, PENDING and REJECTED. Custom labels with user defined text and colours can also be created. Right click on the file or folder and click Label.
f) Metadata
Metadata refers to information that is attached to the file but not part of the directly visible contents. Standard metadata is type, size and creation date. Additional details can also be added including a file category (confusingly referred to as "File Type"), Author and Description. Right click on the file or folder and click More Options > Metadata or click Add details... in the right pane.
g) File versioning
File versioning only applies to files that have been edited within Filerun. Each time you edit a file, the previous version is saved. To access the list of file versions for a file, right click the file and select More options > Versioning > Previous versions. The list of versions will be displayed.
Click a version to highlight it, then Preview, Download, Restore or Delete.
h) Download cart
The Download cart is a convenient way to collect files then download them with a single click. Drag and drop the files to download onto the cart icon in the top heading bar.
When you are ready to download, click the cart icon then click Download all.
